CRM
Every lead captured, assigned and followed up automatically — instead of lost in someone’s WhatsApp.
In short
Stop losing leads in WhatsApp. A pipeline, automated follow-up and real reporting.

The problem
You are not short of leads. You are losing the ones you already have.
Here is the pattern we see in almost every business we audit. Enquiries arrive across four channels — the website form, WhatsApp, Instagram DMs, and the phone. They live in three people’s heads and one shared Excel file. Someone replies quickly on Monday and forgets entirely by Thursday. Nobody can say how many enquiries came in last month or what happened to them.
This is expensive in a way that does not show up anywhere. You keep buying more traffic to replace the leads you already paid for and never followed up. Research consistently shows most sales need several follow-ups, while most businesses stop after one.
A CRM does not fix this by existing. It fixes it when the pipeline matches how you actually sell, follow-ups fire without anyone remembering, and the reporting is simple enough that your team does not quietly stop using it in month two.
What's included
Exactly what CRM covers.
Concrete deliverables, not adjectives. Every item below is agreed in the written scope before work starts.
CRM selection and setup
We help you choose the right platform for your team size, budget and sales process — HubSpot, Zoho, Pipedrive, GoHighLevel or another — then configure it properly rather than leaving you with a default install.
Data migration and cleanup
Contacts pulled out of spreadsheets, phones, old systems and inboxes, deduplicated, standardised (especially phone number formats, which are always a mess) and imported with their history intact.
Lead pipeline design
Stages that reflect how you genuinely sell, not a generic template. Clear entry and exit criteria for each stage, required fields, owner assignment and routing rules so no enquiry sits unclaimed.
Automated follow-up sequences
Multi-step sequences across WhatsApp and email: instant acknowledgement, a value-led follow-up, a reminder, and a re-engagement message weeks later. Written in your voice, with automatic stop rules the moment a human replies.
WhatsApp and email integration
WhatsApp Business API connected so conversations log against the contact record and any team member can pick up the thread. Email connected with templates and tracking. One timeline per customer instead of four.
Lead capture from every channel
Website forms, Meta lead ads, WhatsApp click-to-chat, missed calls and walk-ins all feeding the same pipeline automatically, with the source recorded so you can finally see which channel pays.
Sales reporting dashboards
Leads by source, conversion rate per stage, average time to first response, deals won and lost with reasons, and revenue by channel — on a dashboard your sales lead checks daily and you review monthly.
Team training and documentation
Live training for your team, a written playbook, and a 30-day period where we monitor adoption and adjust. A CRM nobody uses is worse than the spreadsheet it replaced.
How it runs
Our CRM process
Each stage has a defined output, so you always know what has been done and what comes next.
Map the current process
We sit with your sales team and trace how a lead actually travels today — every channel, handoff and point where things get dropped. This usually surfaces two or three leaks worth more than the CRM itself.
Design and configure
Pipeline stages, fields, automations, integrations and dashboards built to match that process, with the obvious leaks closed. You review it against real scenarios before we migrate anything.
Migrate and train
Clean data in, team trained on their day-to-day actions, and a parallel period where the old method stays available so nothing is lost during the switch.
Monitor and refine
For the first month we watch usage, response times and stage conversion, then tune the automations and simplify anything the team is avoiding.
What you should expect
- Every enquiry captured in one place, from every channel, with its source attached
- First response measured in minutes rather than "when someone gets to it"
- Follow-up that happens five times instead of once, without anyone remembering to do it
- A clear answer to "which marketing channel actually produces revenue"
- Sales handovers that survive staff changes, because the history lives in the system
Who this is for
- Real estate and property businesses handling high enquiry volume across WhatsApp and calls
- Clinics, institutes and service firms that book consultations or appointments
- B2B companies with a multi-week sales cycle and several people touching each deal
- Any business spending on ads without knowing which leads became customers
Not sure this is your bottleneck? Take the free audit and we will tell you where your customers are actually being lost.
Questions
CRM questions we get asked
Straight answers, including the ones that are not in our commercial interest.
It depends on your team and budget. Zoho and Pipedrive suit small sales teams that want something affordable and quick to learn. HubSpot suits businesses that want marketing and sales in one platform and can absorb the cost as they grow. GoHighLevel works well for agencies and businesses that need heavy WhatsApp and SMS automation. We recommend after seeing your process, not before.
Yes, through the official WhatsApp Business API. Conversations sync to the contact record, your team can reply from inside the CRM, and template messages can be sent automatically. This requires a Meta Business verification and an approved API provider, which we handle as part of the setup.
That is the most common failure mode, and it is usually a design problem rather than a people problem — too many required fields, an unfamiliar process, or no visible benefit to the person doing the data entry. We design around the fewest possible clicks, train on real deals rather than demo data, and monitor adoption for the first month so we can fix friction while it still matters.
A focused setup for a small team is typically two to three weeks. Larger implementations with messy data migration, multiple integrations or several pipelines take four to eight weeks. Data cleanup is almost always the longest part, and it is worth doing properly.
Thirty days of support is included with every implementation. After that most clients move to a light monthly retainer covering new automations, added reporting and ongoing adjustments as the sales process evolves.
